Unit People & Culture Administrator for IKEA City Rostokino Store

Job description

WHAT YOU'LL NEED TO HAVE

• Knowledge of how to implement plans, according to set budgets and goals;
• Knowledge of efficient administrative processes, systems and tools, and how to make improvements;
• Knowledge of how to systematically create, capture, share, manage and utilise knowledge within IKEA and between co-workers
• Knowledge of how to organise, store and maintain records and information across IKEA;
• Knowledge of how to use IKEA standards and manuals to follow rules, comply to standards and provide direction;
• Knowledge of creating, following and maintaining guiding framework documents with internal and/or external stakeholders;
• Knowledge of IKEAs corporate identity, core values and vision of creating a better everyday life for the many people, to ensure right representation;
• Accomplishes goals, completes tasks, and achieves results in a timely and accurate way;
• Takes action without needing direction from others - ability to work independently, take own initiatives and responsibility but also a team-player;
• Expresses ideas and opinions effectively in verbal and written communication.

WHAT YOU'LL BE DOING DAY TO DAY

• Execute People & Culture administrative tasks in line with Service Level agreements including e.g. updating personnel files, people data compiling and administration, preparing contracts, scheduling, booking and coordinating People & Culture related travel, meetings and events;
• Interact with Human Resources Service Centre (HRSC) on employee personal data, changes in employment terms and conditions, working time reporting, payroll-related issues to ensure correctness of payroll calculation data, handling other HR processes according to SLA;
• Being key responsible for internal and external audits of compliance;
• Execute administrative tasks linked to Learning & Development in line with Service Level agreements including
e.g. scheduling trainings, arranging meeting rooms, registering participants and facilitators;
• Collaborate closely with country People Delivery team to share best practises and prevent duplications of work;
• Continuously contribute to the improvement service delivery aiming for the highest and the most uniform
standard;
• Ad hoc administrative tasks related to creating a great and efficient co-worker experience.

Enable the unit People & Culture functions to focus on their core objectives, delivering to our People Strategy and business objectives, by providing administrative support to the unit.
