District Facility Manager

Job description


As a District Facility Manager, you will lead people and the Facility Management business in a specific district to optimize the value and efficiency of each property in a sustainable way according to the real estate scope in Ingka. You will have the following knowledge to be successful: • Budget management: Knowledge of how to plan, organize and manage costs and expenditures for a business or organisation. • Business risk management: Knowledge of how to assess and mitigate risks in a business environment. • Project management: Knowledge of how to initiate, plan, execute, control and close a project. • Sustainability aspects in Facility Management: Know how sustainability interacts with Facility Management (energy consumption, water consumption, emissions, waste management, chemical products, IWAY, purchasing …). • Facility Management scope and ways of working: Know which services are included in the agreed Facility Management service scope in Ingka and understand the Facility Management delivery model, as well as the position of Facility Management within the Ingka business. • Facility Management business processes: Understand the main Facility Management business processes (e.g. work order management for urgent, planned and reactive maintenance + contract and supplier management) on site level • Facility Management market as well as standards&rules: Know the country Facility Management market for both hard and soft Facility Management services, as well as the international and Facility Management standards, manuals and rules in Ingka. • Technical knowledge on buildings and equipment: Technical understanding in all aspects of an Ingka building and connected equipment. Understanding of asset management (maintenance and repair history, reinvestment planning, …) • Facility Management hard (technical) services: Knowledge of how to successfully deliver, organize and follow up on 'hard' service (technical maintenance, IKEA Food equipment, …) • Facility Management soft services: Knowledge on how to successfully deliver, organize and follow-up on ‘soft’ FM services (cleaning, pest control, snow removal, waste management etc.) • IT tools relevant for Facility Management: Knowledge of all relevant IT tools within Facility Management • Open to new solutions with a passion for doing business, always keeping sustainability in mind. • Leading business and people together. • Deliver results within a given framework. • Contribute to an environment where the IKEA culture is a strong and living reality that embraces the diversity of co-workers and customers. • Be service minded and customer driven KEY PREVIOUS EXPERIENCE: • Experience from a managerial position • Proven skills in developing people and provide support, coaching, training, and career direction to others • Ability to communicate confidently and clearly in English and in the local language in the district • Experience in a multi-unit facilities management organization, preferably in a high-volume retail sector. • Preferred, academic degree or professional qualification in Facilities Management (or equivalent) • Proven project management (preferably in PPS methodology) and change management experience • Proven experience in working with sustainability and the environment from a facility management perspective • Preferably, good knowledge of the IKEA culture and understanding of Facilities Management in IKEA


• Lead and manage the execution of Facility management within the district through the site FM Managers. • Enable and secure best operation to the business • Responsible to make sure that each property is managed throughout its lifetime including safety, compliance, maintenance and improvement to ensure a safe and operational environment for the business, co-workers, customers and other stakeholders. • Implement relevant property management innovations, digital and technical solutions that meet the needs of the business and the many people • Responsible to secure that each property is kept in safe and as new condition on business needs • Responsible to optimize the efficiency of each property in a sustainable way. • Ensure that co-workers and external partners, when needed, has up-to-date awareness and understanding of all FM frameworks, guidelines and initiatives. • Safeguard that forecasts, follow-ups, budgets, 5 year rolling plan etc. are delivered from all sites. • Support and implement the structure for contract and supplier management together with the Ingka purchasing organisation to improve efficiencies/costs/equipment and quality. • Manage and develop the team’s competence, performance and resource management • Create an environment where the IKEA culture is a strong and living reality that embraces the diversity of co-workers and customers
