The accounting department at IKEA of Sweden manage the accounting for a number of subsidiaries within IKEA Range & Supply.
We are now also setting up a support function for handling Travel & Expense claims (TEC) for several companies located in several countries. As an Expense claim Specialist you will be a part of the TEC support team. You will support our co-workers with their travel & expense claims, work with analysis and reconciliations, do audit on claims, administer credit cards, improving processes to gain efficiency and quality to support the business and our stakeholders. You will report to the Expense claim services Manager at IKEA of Sweden AB.
As an Expense claim Specialist you manage, together in the team, the Travel & Expense support to our co-workers and the main focus areas and responsibilities are;
• Provide in-time support to the users in order to help them solve their issues in a proper and timely way • Follow-up on expense claims with pending open questions or issues and release claims for payments • Communicate with TEC super users and SA TEC support team with issues found during the process or when updates/maintenance in the system are needed • Provide TEC user trainings for IKEA co-workers in the claims handling system • Scanning and archiving of claims • Responsible for that control procedures are followed/updated and compliant to global and country specific Travel & Expense policies and making sure that all information is correct when auditing the claims • Credit card administration duties (applications, reminders, assigning/unassigning cards in TEC) • Handle credit card & Airplus reconciliations, analysis of unmatched transactions and act upon deviations • Support companies in the monthly closures when it comes to accruals • Actively participate in the work to increase efficiency and quality by working with KPI´s

We believe that you have a Bachelor degree in Business Administration or equivalent working experience. You have a good understanding of accounting principles with experience from an international environment and are ready for new challenges.
You have very good knowledge in English, both in writing and speech. You have also good knowledges in one or more of the following languages: Swedish, Chinese, Polish, Czech, Italian, Serb, Russian, German or Indian languages. You communicate in a clear and simple way.
You take pride in being accurate, are analytical and are able to complete your tasks efficiently. You are curious, are open to new ways of working and strive to improve processes. Development comes natural for you and is a vital part to reach the vision and the goals.
You have good knowledge of MS Excel, are interested in and have experience from working with financial systems and/or travel & expense claims systems.
To be successful in this role you need to have a strong business understanding and to be able to prioritize your work. As a person you are positive, a good team player and have very good communication skills.
